The Pipedrive integration lets you automatically create persons and deals when someone submits your form. Each submission can create a person record, optionally create a deal in your chosen pipeline and stage, and add a branded note to the activity timeline - keeping your sales team in the loop without manual data entry.

Setting Up the Integration

Connect your Pipedrive account

Go to Integrations in your dashboard and click "Connect" on the Pipedrive integration. Authorize Orbit AI to access your Pipedrive workspace.

Configure what to create

Choose whether to create persons, deals, or both. Select which pipeline and stage new deals should be added to.

Map form fields to Pipedrive properties

Map your form fields to Pipedrive person, deal, or organization properties like name, email, phone, and company.

Enable on your forms

Go to your form's After Submission settings and enable the Pipedrive integration to start syncing.

Record Types

Person

Create a person (contact/lead) with email, phone, and custom fields. Best for capturing contact information from forms.

Deal

Optionally create a deal linked to the person. Choose the pipeline and stage for automatic assignment.

Duplicate Handling

When a form submission matches an existing person email, you can choose how to handle it:

Pipeline & Stage Selection

When creating deals, you can specify which pipeline and stage to assign them to:

  • Select a pipeline from your Pipedrive account (e.g., Sales Pipeline, Demo Requests)
  • Choose the initial stage for new deals (e.g., New Lead, Contacted, Qualified)
  • Deals are automatically linked to the created or matched person
  • Deal title defaults to "Form Name - Email Address" or can be customized via field mapping

Using Pipedrive in Workflows

For advanced use cases, you can add Pipedrive as a destination in your workflows. This allows you to:

  • Only sync leads after AI qualification (filter out low-quality leads)
  • Enrich leads with Clay data before syncing to Pipedrive
  • Route leads to different pipelines based on form responses
  • Send to Pipedrive only when certain conditions are met

Pro tip: Use the workflow builder to create a filter that only sends qualified leads to Pipedrive, routing others to a spreadsheet for follow-up.

Troubleshooting

Persons not appearing in Pipedrive?

Check that the integration is connected and active in your Integrations page. Verify the form has the Pipedrive integration enabled in its settings.

Duplicate persons being created?

Change the duplicate behavior setting to "Update" to merge new data into existing persons instead of creating duplicates.

Deals not being created?

Make sure you have "Create Deals" enabled in the integration settings and have selected a pipeline and stage.

Connection was disconnected?

Your Pipedrive API access may have been revoked. Reconnect from the Integrations page to restore access.

Notes not showing on timeline?

Make sure the "Create Activity Notes" option is enabled in the integration settings.
