Email & Calendar Setup
Connect your Google account to power email sequences, calendar scheduling, and meeting integrations. Microsoft support is coming soon.
Why Connect Email & Calendar?
Connecting your email and calendar account is a prerequisite for several core Orbit AI features:
Sequences
Send automated email sequences directly from your connected email address, so replies land in your inbox.
Scheduling
Sync your calendar for real-time availability checking, and automatically generate Google Meet links. Microsoft Teams support coming soon.
AI Notetaker
Detect upcoming meetings from your calendar and automatically join to record and transcribe.
Connecting Google
Connect your Google account to use Gmail for sending emails and Google Calendar for scheduling:

Go to Settings → Email & Calendar
Navigate to Settings in the dashboard sidebar, then click the Email & Calendar tab.

Click Connect Google
Click the "Connect Google" button to begin the OAuth authorization flow.

Authorize Permissions
Grant Orbit AI permission to send emails via Gmail, read email metadata, and read/write your Google Calendar.

Confirm Connection
Once authorized, your Google account will appear in the connected accounts list. Your first connected account automatically becomes the default.

Connecting Microsoft
Coming SoonMicrosoft account support (Outlook email, Outlook Calendar, and Microsoft Teams) is coming soon. In the meantime, you can connect your Google account for email sequences and calendar scheduling.
Managing Connected Accounts
Once connected, you can manage your email and calendar accounts from the Settings page:
Set Default Account
If you have multiple accounts connected, choose which one is used by default for sending sequence emails and creating calendar events.
Reconnect Expired Tokens
If your authorization token expires or is revoked, click "Reconnect" to re-authorize. You'll see a warning badge when reconnection is needed.
Disconnect an Account
Remove a connected account at any time. Active sequences using that account will be paused automatically.
Calendar Sync
When you connect your Google account, your calendars are automatically synced with Orbit AI:
Automatic Sync
Calendars are synced periodically to keep your availability up to date.
Availability Checking
Your calendar events are used to determine when you're free for meetings on your scheduling pages.
Conflict Detection
Orbit AI checks all connected calendars to prevent double-booking across accounts.
Event Creation
When a meeting is booked, an event is automatically created on your connected calendar with all details.
Availability Schedules
After connecting your calendar, you can set up availability schedules to define when you're open for meetings. Availability schedules work alongside your calendar sync — your defined hours are intersected with your actual calendar to show only truly available time slots.

Your email credentials are encrypted at rest and OAuth tokens are automatically refreshed. Orbit AI only requests the minimum permissions needed and never stores your email password. You can revoke access at any time from your connected accounts settings.
Troubleshooting
Connection Failed
Make sure pop-ups are enabled in your browser. The OAuth flow opens in a new window that must be allowed.
Token Expired Warning
Click "Reconnect" next to the affected account. This re-authorizes without removing your existing configuration.
Calendar Not Syncing
Check that the correct calendars are selected in your settings. Only calendars you've opted in will be checked for availability.
Emails Not Sending
Verify your email account is still connected and the token hasn't expired. Check your daily sending limits in the sequence settings.
