Setting Up the Integration
Connect your Intercom workspace
Go to Integrations in your dashboard and click "Connect" on the Intercom integration. Authorize Orbit AI to access your Intercom workspace.
Choose contact type
Select whether form submissions should create Leads (visitors who haven't signed up) or Users (signed up users of your product).
Configure field mappings
Map your form fields to Intercom contact attributes. Standard fields like email and name are mapped automatically, and you can add custom attributes.
Set up auto-tagging (optional)
Enter a tag name to automatically tag all contacts created from form submissions. Great for segmentation and filtering.
Enable on your forms
Go to each form's integration settings and enable Intercom sync. You can customize field mappings per form if needed.
Contact Types
Lead
Create leads for visitors who haven't signed up yet. Perfect for contact forms, demo requests, and landing pages.
User
Create users for signed up customers. Use for feedback forms, support requests, and in-app surveys.
Custom Attributes
Intercom supports custom attributes on contacts. You can map form fields to existing attributes or create new ones:
| Attribute Type | Description |
|---|---|
Standard (email, name, phone) | Built-in Intercom fields, automatically recognized |
Custom String | Text values like company name, job title, etc. |
Custom Integer | Numeric values like lead score, employee count |
Custom Boolean | True/false values like "opted_in", "is_qualified" |
Custom Date | Date values like signup date, last contact |
Pro tip: Orbit AI will automatically create custom attributes in Intercom if they don't exist. Just map your form field to a new attribute name and it will be created on first sync.
Activity Notes
When enabled, Orbit AI creates branded notes on contact records showing the full form submission details:

Using Intercom in Workflows
For advanced use cases, add Intercom as a destination in your workflows. This allows you to:
- Only sync qualified leads after AI qualification
- Add enriched company data before creating contacts
- Tag contacts differently based on form responses
- Create contacts in multiple destinations (Intercom + CRM)
- Route leads to different contact types based on conditions
Troubleshooting
Contact not being created?
Make sure the form has an email field. Intercom requires email to create contacts. Check that the integration is enabled for the specific form.
Custom attributes not appearing?
Verify the attribute name matches what's in Intercom. Orbit AI will create new attributes if they don't exist, but data type must match.
Duplicates being created?
Check your "On Duplicate" setting. Choose "Update" to merge data into existing contacts, or "Skip" to ignore submissions from existing contacts.
Notes not appearing on contacts?
Ensure "Create Notes" is enabled in your integration settings. Notes may take a few seconds to appear in Intercom.
Integration was disconnected?
A workspace admin may have revoked the app permissions. Reconnect from the Integrations page to restore access.
Required Permissions
When you authorize Orbit AI, we request the following Intercom permissions:
| Permission | Why we need it |
|---|---|
Read/Write Contacts | Create and update leads/users |
Read/Write Data Attributes | Map custom attributes and create new ones |
Read/Write Notes | Add activity notes to contacts |
Read/Write Tags | Tag contacts for segmentation |
